Start a group fund

A collection among several people with one person holding the money: everyone chips in, everyone sees how much is in, who hasn't paid and what it was spent on, and what's left is given back in proportion.

For mom's present, the trip with friends or Saturday's barbecue, people chip in to a group fund (in Colombia, a vaca): everyone puts in their share, one person collects it and pays for whatever it's for. In Presupeso everyone sees the same thing: how much is in, who has paid, who still has to and what it was spent on. Each person keeps it in their own budget, and nobody sees anyone's accounts or budget. Group funds are included in every plan.

How to start one

  1. Open More › Group funds and tap Start a group fund.
  2. Write what it's for («Mom's present») and how it's collected: Each person puts in (for example $ 60,000), A total goal (for example $ 300,000) or No amount. If you like, the due date.
  3. Under «Who's in?» write the names of the people in it, separated by commas. They don't need to use Presupeso: that way you see who still has to pay even if they never join.
  4. Choose which account the money comes into and which category you keep your own share in (by default «Group gifts»), and tap Start the fund.
  5. Tap Share the link (or WhatsApp, or Copy the link) and send it to the group. Presupeso doesn't message anyone: you send it. The same link works for everyone and expires after 30 days.

At first you collect the fund. If someone else will collect it, hand it to them once they've joined (see «When someone else collects it» below).

With the link, anyone in the group sees the fund even without Presupeso: how much is in against the goal, who has paid, who hasn't and what it was spent on, with first names. Nothing from anyone's budget, accounts or balances. To keep it in their own budget they tap Create my free account (they come in through Invite and earn, so it also counts as your invitation) or I have an account: sign in.

Once in Presupeso they choose which budget to keep it in, which category their share goes to and their usual account, and tap Join the fund. If the organizer had already added them («Aunt Rose»), they pick their name under «Are you one of these people?»: what was recorded for them becomes theirs, and they decide whether to record it in their budget. If the link reached them by mistake, they tap It isn't mine: the organizer gets a notice, without saying who it was.

Putting in your share

Laura collects the fund for her mom's present: $ 60,000 per person. Andrés sends her his $ 60,000 by Nequi, opens the fund and taps Record my share. It goes out of his budget right away, as an expense in his «Group gifts» category, because the money already left his Nequi. Laura gets a notice: «Andrés recorded a share of $ 60,000 for the «Mom's present» fund. Did you get it?». The fund's notices say the first name of whoever did something, never their last name or email. Until she confirms it, the collected amount doesn't change and the share shows separately, waiting to be confirmed.

Laura checks her Nequi and taps Confirm: she chooses which account it arrived in and the $ 60,000 go into her account and into the Fund · Mom's present category, not into her Ready to assign. From then on they count as collected, and Andrés shows «Paid in».

If someone hands the money over in person, whoever collects taps Someone gave me their share and picks who it was. If that person uses Presupeso, they get it to confirm; if not (Aunt Rose), what the collector records stands.

See moreWhy the fund's money doesn't go into your «Ready to assign»

If you collect a fund, that money isn't yours: it belongs to the group. So every peso you receive goes into the fund's own category («Fund · Mom's present», in the «Group funds I collect» group) and not into your Ready to assign (the money you already have that has no job yet). That way it doesn't mix with yours, your account says what the bank says and what's available in that category is exactly what's left in the fund. The fund's expenses and what you give back come out of it.

Whoever chips in keeps it as an expense in the category they choose: that money is gone. If they get part of what's left back, it returns to that same category.

What it was spent on

Whoever collects taps Record an expense: how much, which account it came out of and what it was spent on, which is required because everyone sees it («A coffee maker for mom»). It comes out of their account and the fund's category, and everyone else gets a notice. An expense can't be more than what's left confirmed in the fund: if you put in your own money to cover it, record it first as your share. For what changes the fund's money without being an expense (a bank fee, a missing bill) there's Record an adjustment.

Who hasn't paid, and reminding them

Under «Who's in» each person shows what they put in and a mark: Paid in, how much they still owe, or what's waiting to be confirmed. Whoever organizes or collects taps Remind those who haven't paid and Presupeso writes the message with the names, what each one still owes and the link: you send it with Share the message or WhatsApp. Those who still owe and use Presupeso also get a notice (once a day at most).

All your group funds in one place

In More › Group funds you'll find them all: first what's waiting for your answer, with its two big buttons, and then each fund with how much is in against the goal, who collects it and how many still have to pay. When something is waiting for you, the red number also shows on More.

What's left

If money is left at the end, whoever collects taps Give back what's left. Presupeso splits it among those who put money in, in proportion to what each one put in, to the exact peso: the pesos that can't be split go to whoever put in the most (and, among equals, to whoever joined first). Before doing it, it shows how much each person gets. Each person gets their refund to confirm and it goes back to their category; you hand it in person to anyone who doesn't use Presupeso.

When something isn't right

If what someone recorded isn't true, tap Not correct and write why. Nothing changes in your budget; whoever recorded it gets the notice and taps Correct and send again or Undo mine. Each person can Correct or Delete what they recorded; if it had been confirmed, it's waiting to be confirmed again and meanwhile what was agreed still counts. What belongs to a group fund isn't corrected or deleted from Transactions: it's done from the fund, so everyone finds out. The note can be changed there.

When someone else collects it, leaving and closing

  • When someone else collects it: whoever collects taps Hand the fund to someone else and picks someone who is in with their account. If the fund has money, it's handed over: it comes out of their account and their fund category, and the other person gets it to Accept collecting it (or I can't collect it). Until they accept, nothing new is recorded.
  • Leaving: tap Leave the fund. What you put in still counts, in the fund and in your budget. Whoever collects can't leave: they hand it to someone else first.
  • Closing: whoever organizes or collects taps Close the fund once there's no money left (spent or given back) and nothing is waiting to be confirmed. It stays view only and the link stops working.
See moreWhat happens if you empty your budget or delete your account

If you empty or delete the budget where you kept the fund, nothing changes for the others. You tap Choose where I keep it: what you already put in isn't recorded again, and if you collect, what's left in the fund is set aside from your Ready to assign into the fund's category, without touching any account.

If you delete your account, the fund carries on for the others and nothing of you stays: not your first name, your email or your account. They see you as «Una persona» (someone; the organizer sees the name they had added you with). What was waiting for your answer stands as the other person recorded it. If you collect a fund with money in it, you first hand it over or give back what's left (see «If you collect and want to delete your account»). If you were collecting one with no money, anyone in it taps Collect it myself and carries on.

A group fund in a shared budget

If you keep a shared budget with your partner and keep a group fund in it, the fund is yours. The others in the budget see its transactions, like everything in the budget, with Recorded by and your name, and they see the fund's category; but they don't see the fund: not who else is in it, how much each one put in, or what the others wrote. They can't manage it either: if someone tries to change the amount of one of those transactions or delete the fund's category, Presupeso tells them it's yours. They can change the note.

If the budget belongs to someone else, their plan rules: if their subscription isn't active, you can't record anything of the fund in that budget, though you still see it. If you can only look at that budget (you're a viewer), it isn't offered for keeping a fund.

If you leave that budget (or you're removed), what you recorded stays there and in the fund you tap Choose where I keep it: you pick one of yours and carry on without recording the earlier things again. If you collect a fund with money and keep it there, before leaving you hand it over or give back what's left; otherwise Presupeso doesn't let you leave and tells you which one.

If you collect and want to delete your account

While you collect a group fund that has money, or something waiting to be confirmed, your account isn't deleted: that money belongs to those who chipped in and would be left hanging. In Settings › Danger zone, the delete-account card tells you which fund it is and how much it has, with a button to open it, and Delete my account is turned off. In the fund tap Hand the fund to someone else or Give back what's left; once it has no money and nothing waiting, come back and delete it.

With your AI

«Let's start a group fund for the barbecue, 35,000 each», «who hasn't paid into mom's present?», «note that I gave Laura 60,000 for the fund», «I bought the coffee maker with the fund's money: 150,000», «give back what's left». Your AI gives you the link to send, says how it's going and who hasn't paid, and asks you before confirming, saying something isn't correct or giving back what's left. It only records: it doesn't move real money.
