Share the budget with your business partner or your partner
Invite your business partner, your partner or whoever runs the till to one of your budgets with a link: you both record, see the same numbers and every transaction says who did it, without seeing your other budgets.
On this page
A Presupeso budget can be kept by several people: your partner at home, your business partner at the shop, whoever runs the till. Everyone records in the same budget and sees the same numbers, and every transaction says who recorded it. Nobody sees your other budgets: only the one you share.
Each person joins with a role:
- Owner: whoever created the budget. Can do everything, including emptying it, deleting it and inviting or removing people. Their plan covers everyone in that budget.
- Editor: records expenses and income, assigns money, corrects and deletes transactions, closes the day. Can't empty or delete the budget or manage people.
- Viewer: only looks. Sees everything and can export it, but doesn't record or change anything.
Invite someone
- Open the budget you want to share and go to Settings › Members.
- Tap Invite to this budget.
- Write their name (optional: «Andrés, my partner»). That's how everyone in this budget will see them.
- Choose what they'll be able to do: Editor or Viewer.
- Tap Make the link.
- Tap Share the link, WhatsApp or Copy the link, and send it. Presupeso doesn't message anyone: you send it.
The link expires after 15 days and works for one person only: to invite two people, make two links. While nobody uses it, it shows under Links nobody has used yet, and you can close it with Close the link.
What the person who gets the link sees
Without signing in, the link only says your first name, the budget's name and the role they'd join with. No numbers: they see them once they join with their account. If they don't have an account, they tap Create my free account (it goes through Invite and earn, so it also counts as your invitation); if they do, I have an account: sign in.
Once inside, they see who invites them, the budget and what they'll be able to do, and tap Join this budget. The budget opens and stays on their list, next to their own.
When you tap the budget's name (at the top), shared budgets show a people icon and say who with: «Shared with Andrés, Camila», or «Laura's · you're editor» if it belongs to someone else.
Who did what
In a shared budget, Presupeso says who recorded each thing:
- In Transactions, what another person recorded shows their name. At the top, the Who filter shows only one person's, or What I recorded.
- In a transaction's detail, Recorded by says who and how: «Andrés · with ChatGPT». Below, its history shows who changed it and when.
- In Settings › Change log, each line says who did it (assignments too), and you can filter by person.
- Each day close says who closed it.
See moreWhat happens if two people correct the same thing at once
If you and your partner open the same transaction and both correct it, whoever saves first wins. Presupeso doesn't let the second one overwrite the first: it says who changed it and how it is now («Andrés changed it while you had it open: it now says $60,000 on October 12…»), and shows the transaction again so they can decide. Assigning money to the same category at the same time does add up (two $100,000 become $200,000), and if two people close the till on the same day, only one close remains: the second is told that day is already closed.
Who pays
A shared budget runs on the owner's plan: the other people don't pay anything to be in it, and their own budgets keep their own plan. If the owner's subscription stops, the shared budget becomes view-and-export only for everyone, until they reactivate it.
- With the Business plan, a budget can be shared with up to four people (five counting the owner): business partners, whoever runs the till, the accountant.
- With the Personal plan, the budget can be shared with one person: your partner, for example.
Pending links count too. If someone arrived when there was no room left (for example, because the owner moved from Business to Personal), they stay view-only, and can record again if the owner changes plan or someone leaves. More in Your plan and your subscription.
Change what someone can do, remove them or make them the owner
Owner only. In Settings › Members, tap Change next to the person:
- Choose Editor or Viewer, or change their name, and tap Save changes.
- Remove from the budget: they stop seeing it. What they recorded stays.
- Make them the owner: that person becomes the owner (from that day the budget runs on their plan) and you stay as an editor. To confirm, you type TRANSFER.
Leave a budget that isn't yours
In Settings › Members, tap Leave this budget. You stop seeing it; what you recorded stays in the budget, but without your name: the others see it with the name the owner gave you, or as «A person». The owner can't leave: first they make someone else the owner (or delete the budget).
See moreWhat happens if someone deletes their account
If someone who isn't the owner deletes their account, it's as if they left: what they recorded stays, without their name.
If the owner deletes it, Presupeso first asks who gets each budget they share. That person becomes the owner and the budget goes on for everyone. If they don't choose anyone, the budget is deleted for everyone, and each person gets a notice: «The budget «…» was deleted: its owner deleted their account». More in Export your data and delete your account.
What each person sees (and doesn't)
Each person sees everything in the shared budget: accounts, categories, transactions, customers and suppliers, day closes, what's coming. And nothing from the others' other budgets. If Laura puts money from her home budget into the business she shares with Andrés, Andrés sees the contribution in the business, but not Laura's home budget: it shows as «another budget of Laura».
Customers and suppliers belong to the budget: in a shared business, the partners serve the same customers, and if someone leaves, the customers stay with the business.
See moreA shared loan kept in a shared budget
If you keep a shared loan in a shared budget, the loan is yours: your partners see its transactions (the money came in or out of an account everyone uses), but not the loan or the other person, and they can't correct it. If you leave that budget, its transactions stay there as a normal loan, and you choose which other budget you keep it in. The same goes for a group fund: it's yours, your partners see its transactions with your name but not the fund, and if you collect it with money in it, before leaving you hand it over or give back what's left.
Alerts
In Settings › Alerts:
- Your shared budgets (on): when someone joins or leaves, when your role changes or when you're made the owner.
- What the others record (off by default): every expense or income another person records in a shared budget, for example «Andrés recorded an expense of $45,000 («Corn flour») in «Arepas de Laura»».
With your AI
«Invite my partner to this budget», «who do I share this budget with?», «make Camila view-only», «who wrote down the gas?», «take me out of the shop's budget». Your AI gives you the link so you send it yourself, says who recorded each transaction and, before taking you out of a budget, asks you. Removing someone and transferring ownership are done in the app. See What your AI can touch.
Common questions
Does my partner see my personal budget if I share the home one?
No. They only see the budget you share. Your other budgets, your other accounts and what happens in them don't show up on any screen, in what they download or to their AI.
Do I have to pay to be in my business partner's budget?
No. The budget runs on its owner's plan. What you pay (or your free trial) is for your own budgets.
I sent the link to the wrong person, what do I do?
Close it in Settings › Members with Close the link, before they use it. If they already joined, tap Change next to that person and Remove from the budget.
